My Loan Pipeline ("we," "us," or "our") provides software and related services for mortgage lending teams to manage loan pipelines, partner referrals, compensation workflows, and operational reporting (the "Service"). This Privacy Policy describes how we collect, use, disclose, and protect information when you visit our marketing site, create an account, or use the Service on behalf of your organization.

If your employer or lender has contracted for the Service, your organization may also provide you with separate privacy notices. Where those notices conflict with this policy for data your organization controls, your organization's notice typically governs business data processed on its behalf.

1. Information we collect

Information you provide

  • Account and profile data: name, work email, role, team assignments, and authentication credentials managed through our identity provider.
  • Organization data: company or branch name, configuration settings, and user invitations.
  • Operational and loan-related data: information your organization enters about loans, borrowers (where permitted), partners, payroll, documents, and workflow status—subject to your organization's instructions and applicable law.
  • Communications: support requests, feedback, and email preferences.

Information collected automatically

  • Usage and device data: IP address, browser type, pages viewed, actions taken in the Service, timestamps, and diagnostic logs.
  • Cookies and similar technologies: we use cookies and local storage for authentication, security, session management, and product functionality. See Section 8 (Cookies).

Information from third parties

We may receive information from identity providers (e.g., sign-in services), email delivery providers, hosting and analytics vendors, and integrations your organization enables.

2. How we use information

We use information to:

  • Provide, maintain, secure, and improve the Service;
  • Authenticate users and enforce role-based access controls;
  • Send transactional notifications, reminders, and operational emails your organization configures;
  • Respond to support requests and communicate about the Service;
  • Comply with legal obligations and protect against fraud, abuse, or security incidents;
  • Generate aggregated or de-identified analytics to understand product usage (where permitted).

We process personal information as a service provider/processor for customer organizations with respect to loan and business data they submit, and as a controller for account, billing, and website data we determine independently.

3. How we share information

We may share information with:

  • Service providers: hosting, database, email, authentication, monitoring, and support vendors bound by contractual confidentiality and security obligations.
  • Your organization: administrators and authorized users within your tenant, according to role permissions.
  • Legal and safety: when required by law, subpoena, or to protect rights, safety, and integrity of the Service.
  • Business transfers: in connection with a merger, acquisition, or asset sale, subject to appropriate notice where required.

We do not sell personal information for money. We do not use borrower data for unrelated third-party marketing.

4. Data retention

We retain information for as long as needed to provide the Service, fulfill contractual obligations to your organization, resolve disputes, and comply with legal requirements. Retention schedules for loan-related records may be governed by your organization's policies and mortgage industry regulations.

5. Security

We implement administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure; you are responsible for safeguarding your credentials and devices.

6. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain processing of personal information, or to object to processing and receive a portable copy. Organization users should contact their administrator for data within a tenant. You may also contact us at the address below.

You may opt out of non-essential marketing emails using unsubscribe links where provided. Operational and security messages may still be sent.

7. International transfers

If you access the Service from outside the United States, your information may be processed in the United States or other countries where we or our providers operate, which may have different data protection laws than your jurisdiction.

8. Cookies

We use essential cookies for login sessions and security. We may use analytics cookies to understand how the marketing site and product are used. You can control cookies through browser settings; disabling essential cookies may limit functionality. We do not maintain a separate cookie policy; cookie practices are described in this section.

9. Children

The Service is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children.

10. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy with an updated effective date and, where appropriate, provide additional notice. Continued use of the Service after changes become effective constitutes acknowledgment of the updated policy.
